What this policy covers
This policy covers personal information you give us through this website — principally the requirement brief and the consultation booking form — and information collected automatically when you visit. It does not cover information we handle under a separate written engagement with a client, which is governed by that agreement.
Information we collect
We collect only what we need to respond to you and carry out work you ask us to do.
- You give us
- Name, company, email address, telephone number where you provide it.
- About your requirement
- Product or requirement, quantity, destination market, timeline, supplier names, and any notes you write.
- Documents
- Files you choose to attach — typically quotations, drawings, certificates or correspondence.
- Booking
- Preferred date and time, and the topic you select.
- Automatically
- Standard server logs from our hosting provider, including IP address, browser type and pages requested.
- If you allow it
- Analytics data about which pages you read, your approximate location and your device type. This is off unless you agree to it, and is described in full in the cookie policy.
Please do not upload documents containing personal information about other people beyond what is necessary — for example, redact personal contact details that are not relevant to the supplier assessment.
How we use it
We use the information you provide to:
- Respond to your enquiry and tell you what we can and cannot establish
- Carry out the supplier assessment, sourcing or coordination work you engage us for
- Arrange and hold a consultation where you request one
- Keep a record of the work we have done and the evidence it rests on
- Meet legal, accounting and regulatory obligations that apply to us
- Understand how many enquiries we receive and how quickly we respond to them
We do not sell personal information, and we do not use what you send us to build marketing lists. We will not send you marketing email unless you ask us to.
We do not share the identity of a buyer with a supplier being assessed unless you instruct us to.
Legal bases for processing
Where UK or EU data protection law applies, we rely on the following legal bases:
- Contract
- Processing necessary to take steps at your request before entering an engagement, and to perform it.
- Legitimate interests
- Responding to enquiries, keeping records of our work, and maintaining the security of this site. We balance these against your rights.
- Legal obligation
- Retaining records where law requires it.
- Consent
- Where we ask for it explicitly — you may withdraw it at any time.
International transfers
We operate from India and work with buyers internationally, so information you send us will be accessed in India and may be stored on servers outside your country. Where information is transferred out of the UK or EEA, we rely on appropriate safeguards, including standard contractual clauses where they apply.
How long we keep it
We keep enquiries and briefs for as long as needed to respond and, where an engagement follows, for as long as the working record is useful to you — assessments are dated and their value is partly historical. Beyond that we keep only what law requires us to.
You can ask us to delete what you have sent at any time, and we will do so unless we are required to keep it.
Your rights
Depending on where you are, you may have the right to:
- Ask what personal information we hold about you and receive a copy
- Have inaccurate information corrected
- Ask us to delete information we no longer need
- Object to or restrict certain processing
- Receive information you gave us in a portable format
- Withdraw consent where we relied on it
- Complain to your data protection authority
To exercise any of these, write to admin@velkor.net. We will respond within the time the applicable law allows.
Security
This site is served over HTTPS, and access to enquiries and documents is limited to people at Velkor who need it for the work. No transmission over the internet can be guaranteed completely secure, but we take reasonable measures appropriate to the sensitivity of what you send.
Changes to this policy
We update this policy when our practices change. The date at the top shows when it was last revised. Material changes will be made clear on this page rather than applied quietly.
